Terms and Conditions - Children's Activity Camp

Registration:

a. All participants must complete the registration form and provide accurate and up-to-date information.

Eligibility:

a. The camp is open to SEND children aged 8-18

b. Participants must meet the age requirements as of the first day of the camp.

c. Bookings for children who fall outside these age ranges is at the camp organisers discretion.

Health and Safety:

a. It is the responsibility of parents/guardians to inform the camp organisers of any medical conditions or allergies that may affect the child's participation.

b. Parents/guardians must provide emergency contact information and ensure that it is up-to-date.

c. Participants are required to follow all safety instructions and rules provided by the camp staff.

d. Disability in Action cannot provide intimate care for any child. It is expected every child can use the toilet independently without adult assistance.

Code of Conduct:

a. Participants are expected to treat others with respect, including camp staff, fellow campers, and any other individuals involved in the camp.

b. Bullying, harassment, or any form of inappropriate behaviour will not be tolerated.

c. Participants must adhere to the camp schedule and follow instructions provided by the camp staff.

d. In the event of persistent poor conduct, parents will be called and expected to collect their child, no refund will be offered in this circumstance.

Personal Belongings:

a. The camp organisers are not responsible for any loss, theft, or damage to personal belongings of participants.

b. It is recommended to label all personal items brought to the camp.

c. Mobile phones and other electronic devices can be brought to camp, however, they are only to be used at scheduled break times with restrictions in place such as no photos or exchanging of numbers.

Food:

a. Disability in Action operates a no-nut policy so please do not pack any form of nut in your child’s lunchbox.

Photography and Media:

a. The camp staff may take photographs or videos during camp activities for promotional purposes. Parents will be asked for photo permission upon booking.

Medical Treatment:

a. In the event of illness or injury, camp staff will provide reasonable care and, if necessary, seek medical attention. All camp leaders are first aid and buccal trained.

b. If your child requires scheduled medication during camp hours, camp staff will administer this at the specified times. (medication sheet must be filled out in full)

c. Any medication must be brought in, in its original packaging.

Cancellation and Refunds:

a. Cancellations made one week before the camp start date will be eligible for a refund, subject to any applicable administrative fees.

b. Cancellations made within one week of camp beginning will be eligible for a 50% refund subject to any applicable administrative fees.

c. No refunds will be provided for cancellations made within 48 hours of the camp beginning.

Changes to Camp Schedule:

a. The camp organisers reserve the right to modify or cancel camp activities, including sessions, due to unforeseen circumstances.

b. Parents/guardians will be notified of any significant changes as soon as possible.

Liability:

a. The camp organisers and staff will not be held liable for any injuries, accidents, or damages that may occur during the camp, except in cases of negligence or wilful misconduct.

Late pick up:

a. Parents/Carers are expected to pick up their child by 3pm, late pick up could result in additional fees to pay for staff time.

Safeguarding:

a. Any safeguarding concerns will be logged on MyConcern, all data will be stored in line with GDPR legislation and secured safely.

b. External agencies may be contacted should a safeguarding concern breach local authority thresholds.

By registering for Disability in Action’s activity camp, parents/guardians acknowledge that they have read, understood, and agree to comply with the terms and conditions outlined above.
